Requesting Continuing Education Units (CEUs)

Programs applying for CEUs from Jackson State University must submit an application at least three weeks before the course/activity to allow sufficient time for action. Participants should not be guaranteed CEUs prior to application approval. Brochures for participants/agencies interested in receiving/awarding CEUs are available upon request. Participant brochures describe the CEU, training for which credit is awarded, and eligible programs. Agency brochures describe CEU credit, list specific guidelines for program eligibility, and outline instructions for computing participant credit.

Completing CEU Application
The application must include detailed descriptions of the event and responses to the requests indicated on the application. A representative of the College of Lifelong Learning is available to provide preparation assistance in addition to the procedures detailed in this document.

  • Name of Department/Agency: Provide the name of the department (campus unit) or the agency (off-campus organization) sponsoring the event.
  • Address: Indicate the complete address of your department or agency.
  • Person: Indicate the name of the department or agency representative responsible for coordinating the CEU effort with the College of Lifelong Learning. Additionally, provide the representative's title and telephone number.
  • Title of Course/Activity: Provide the complete title of the event (class, conference, workshop, etc.)
  • Course/Activity Objectives: Indicate the general objective of the course/activity. Attach an appendix stating specific course/activity objectives.
  • Brief Description: Indicate the type course/activity and summarize the training to be provided.
  • Target Audience: Indicate the specific target population to be trained. For example, gerontological, health care, or substance abuse professionals.
  • Format: Indicate the manner in which training will be provided. For example, lecture, discussions, lecture and discussions, or lecture, films, and group discussions.
  • Level: Indicate the category under which the training will be provided. As indicated in the College publication “Continuing Education Unit (CEU) - The Application for Credit,” the application must meet the criteria established under one of three program categories. Interpretations of each are as follows.


Category I

  1. The non-credit course/activity is planned in response to an assessment of educational need for a specific target population.
  2. There is a recorded statement of objectives, rationale, and purpose for such programs prepared prior to the beginning of the course/activity.
  3. Content is selected and organized in a sequential manner.
  4. There is evidence of pre-planning which should include the opportunity for input by a representative of the target group to be served, the faculty area having content expertise, and Continuing Education personnel. (Note: Content faculty or staff may be interpreted as Continuing Education faculty or staff.)
  5. The course/activity is of an instructional nature and is sponsored or approved by an academic or administrative unit of the University. Sponsorship by the identified unit must be recorded.
  6. Students/participants are registered to provide a permanent, individual CEU record and to provide data for reporting.
  7. Appropriate evaluation procedures are utilized and criteria are established prior to beginning courses/activities for which CEUs will be awarded.
  8. Permanent CEU records are maintained for students/participants by the College of Lifelong Learning.

Category II
Category II programs meet all the criteria established for Category I , with the exception of criteria numbers 1, 4, 6, and 8. The primary purpose of the relaxation of these four criteria is to provide a means of recording information about organized continuing education courses/activities which are offered by institutions but which are not necessarily directed toward leadership, career, or occupational needs.

  1. The non-credit course/activity may be planned for a more diversified population.
  2. There is a recorded statement of objectives, rationale, and purpose for such programs prepared prior to the beginning of the course/activity.
  3. Content is selected and organized in a sequential manner.


Category III

There are three criteria which must be met in order for a program to be classified under Category III. These criteria are as follows:

    1. The course/activity is a planned, educational event which has a recorded statement of purpose and which may be open to the general public.
    2. The course/activity is of an instructional nature and is sponsored or approved by an academic or administrative unit of the University best qualified to affect the quality of the program content and to approve the resource personnel utilized.
    3. There is certification of total once.
  • Estimated Audience, Dates, and Time: Indicate the number of students/participants expected, tentative date(s), and the time of the course/activity.
  • Cooperating Non-Institutional Organization: If this request is for an organization to award the CEU credit through Jackson State University but to issue its own certificate, provide the appropriate information. If this option is selected, the University will maintain permanent CEU records for each participant. Please note, however, that CEU fees for this procedure will remain the same.
  • Instructional Contact Hours: Indicate the number of contact hours in which instruction will be provided. Individual CEUs are computed on the basis of one unit for each ten (10) contact hours of participation. If desired, fractional units can be awarded. They are recorded to one decimal point. For example, a course/activity meeting for a total of 32 contact hours can receive 3.2 CEUs.
  • Number of CEUs Recommended: Indicate the number of CEUs desired. The recommended number of CEUs may be computed using the above formula. However, if the desired number of CEUs is less than the number of total contact hours, indicate the number requested in the space provided.
  • Teaching Location: Indicate the location of the course/activity (city, state, hotel, etc.). For a University course/activity, provide the location (campus or off-campus), building, and room number.
  • Source of Revenue: Indicate the entity responsible for paying CEU fees. All fees should accompany the CEU enrollment and requests for students/participants. The University will not be responsible for collecting from a third party.
  • Suggested Enrollment Fees: Compute course/activity enrollment fees based on the number of students/participants, the CEU fee, and the number of CEUs requested. For example if ten students/participants are expected to receive five (5) CEUS, the cost would be $1,000 (10 x $20 x 5). As indicated under Institutional Contact Hours, fractional units (less than one full CEU) may be awarded. The minimum CEU fee, however, is $20 which covers the cost of fractional units (.1 to .9) or the whole unit (1).
  • Teacher/Consultant Information: Provide the name, social security number, and telephone numbers of the teacher(s)/consultant(s) who will provide the training and include the Division's Teacher/Consultant Data Form. If the instructor(s)/consultant(s) is/are not Jackson State University employees, enclose a current resume. Additional information may be requested.
  • Time Allocated to the Course/Activity: Indicate the estimated number of hours the teacher/consultant will spend providing the course/activity. If the teacher/consultant is a Jackson State University employee, explain that performing this service will not interfere with routine duties. Include a complete schedule of regular classes and the date(s), day(s), and time(s) to be spent teaching/consulting in this course/activity.
  • Evaluation Procedure: Indicate the manner in which students/participants will be evaluated. If available, include a copy of the assessment instrument in the appendix.
  • Signature: This application should be signed by the course/activity director (course instructor or agency representative) responsible for coordinating the CEU request with the College of Lifelong Learning.
  • Approvals: The College of Lifelong Learning will review the application to ensure completeness and conduct any required follow-up. Once the application meets requirements, the College will work cooperatively with the appropriate academic department and schools, conduct the necessary follow-up, secure University approval, and notify the requesting program of the University's decision. Notification will be provided no later than 15 days following the receipt of all required information.

Awarding CEU Credits

The Continuing Education Unit (CEU) Enrollment and Request Form must be received before CEU credits can be granted. It should be submitted for individual participants/students immediately following the transition of approved CEU activities/courses. This form contains three parts: Sections 1, II, and III. They are discussed in the following paragraphs.

  • Section I requests personal data which should be provided by the participant/student. If he/she previously has received CEUs from Jackson State University, it is imperative that the requested information be provided. This will ensure that the College adds credits to existing CEU records instead of generating new ones.
  • Section II requests an evaluation of the training. This section should be completed by the participant. This section evaluate the quality of the training and indicate whether there is a preference for additional training in this area.
  • Section III validates the issuance of CEU credits. This section will be completed by the College of Lifelong Learning. Within 30 days following the receipt of this form, a University CEU certificate will be mailed to each participant/student who successfully completes program requirements. CEU requests must be submitted not less than 30 days following the event. Requests made after that time will not be honored.
