Winter Break Closing Procedures

End of the Year Residence Hall Closing Information

 

Please note it is the responsibility of the student to read this in its entirety.  For any questions, please do not hesitate to ask a Community Assistant, Hall Director or other housing office staff.

*Please note if you are an athlete competing in fall sports, Residence Life staff will have a list of competing athletes.  Only student athletes who are on the list will be able to reside in the halls on the days designated by Athletics.*

Things to do DURING finals week

  1. Observe 24 hour quiet hours.  Quiet hours start December 3, 2017, at 5:00 pm and end on December 8, 2017, at 5:00 pm.
  2. Study.
  3. Sign up for a check out time with your CA if you are not living on campus for the Spring 2018 semester.  Failure to sign up for a check out time will result in a 75.00 penalty fee.  If you are returning for the Spring 2018 semester, you do not have to sign up for a check out time, but you must clean your room before you leave for the winter break.
  4. Pack.  Do not wait to the last minute to start packing.

Help cleaning staff by bagging your trash and taking it to the designated trash area/area.  You cannot leave trash in the hallway or in your bedroom/suite.  Please note that charges will be accessed if trash is left in your room, stairwell, or hallway.

  • Be ready to check out at the time you scheduled with your Community Assistant.
  • Make sure your room is clean.
  • If you have a microfridge in your room, please empty, unplug, and clean your fridge.  Your microfridge must be clean and defrosted before your check out meeting.  Both roommates are held equally responsible for the condition of the microfridge.

 

How to Check Out of Your Room:

  1. Sign up for a check out time on your Community Assistant’s door at least 24 hours in advance.
  2. Prior to meeting your staff for your check out time, please clean your room, sweep/vacuum, and arrange your furniture (all furniture issued to the room) as it was found during check in.
  3. Please remove all perishable foods and personal belongings from the living space, bathrooms, or other common areas. Please make sure you have everything including clothes, medicine, wallet/purse, electronics, phone/charger, and books. You will not be allowed access to your room during the break.
  4. Hall staff will meet you at your room at your designated time.  Please be patient if staff is finishing another check out.  It is a hectic time of year for everyone.
  5. Hall staff will perform the inspection.  Once you are cleared, you will sign the paperwork and are free to leave.  Billable damages will be assessed to your PAWS account.
  6. Avoid extra charges by signing and dating the Room Condition report.  Failure to be present for check out and signing the Room Condition report will result in an improper check out charge of $75.00 being assessed to your student account.

 

How to Check Out of Your Room (Students Not Returning to the Residence Hall):

  1. Sign up for a check out time on your Community Assistant’s door at least 24 hours in advance.
  2. Prior to meeting your staff for your check out time, please remove all of your personal belongings, clean your room, sweep/vacuum, and arrange your furniture (all furniture issued to the room) as it was found during check in.  Please remember to check all drawers, closets, and cabinets for your personal items.  Any personal items left in the residence hall after closing will be discarded.
  3. Hall staff will meet you at your room at your designated time.  Please be patient if staff is finishing another check out.  It is a hectic time of year for everyone.
  4. Hall staff will perform the inspection.  Once you are cleared, you will sign the paperwork and are free to leave.  Billable damages will be assessed to your PAWS account.
  5. Avoid extra charges by signing and dating the Room Condition report.  Failure to be present for check out and signing the Room Condition report will result in an improper check out charge of $75.00 being assessed to your student account.
  6. Return your key.  If you were issued a physical key, you must return it before you are considered checked out.  All physical keys must be returned at the time of check out.  If you did not return your key, you will be asked to sign the Damages Form noting the key was not returned in addition to a damage fee of 75.00.

Following closing of the hall, the Hall Director will inspect all rooms.  Any damage undetected by a Community Assistant will be charged to the appropriate occupants residing in the room at the time of closing.  Please note that any questions or concerns about charges related to room damages must be put in writing to the Department of Housing & Residence Life at housinginfo@jsums.edu no later than December 20, 2017.

 

Additional Things to Do During Finals Week

  1. Talk with your roommates to determine how and when your bedroom/suite/apartment and bathroom will be cleaned.
  2. If you are moving out of a suite/apartment, the appliances and bedrooms and bathroom must be left in a clean and presentable manner.  Failure to do so will result in a charge to clean the apartment/equipment.  Any items left upon move out will be discarded. All electrical items must be unplugged.
  3. Clean out your microfridge or refrigerator.
  4. Follow up with Mail Services regarding your mail if you are not living on campus next semester.  To avoid a delay that could come with mail forwarding, please contact your family, friends, publishers, etc. and let them know when you will be leaving the halls.  Please go to Mail Services to forward your address to the appropriate residence.

 

MOVE IN 2017

The halls open on January 3, 2017, at 9:00 a.m. for student move-in.
